How the math works

A conservative decay curve, stated in full.

We assign a relative conversion multiplier to your first-response time: 5 minutes or less = 1.00, within 15 minutes = 0.92, within 30 minutes = 0.85, within an hour = 0.75, within 4 hours = 0.60, within a day = 0.45, and anything slower = 0.35. The shape is consistent with widely replicated sales-response research — the classic finding is that the odds of qualifying a lead fall roughly 8× between a 5-minute and a 30-minute response — but we flattened it on purpose so the output errs low.

Current annual inbound revenue = leads per month × 12 × close rate × deal value. Revenue at a 5-minute response = that figure divided by your bucket's multiplier, and the difference is what's left on the table. Three assumptions to check against your business: deal value stays constant regardless of response speed, close rate scales with response speed only up to the modeled multiplier, and lead volume is steady with no seasonality. If those don't hold for you, the number moves — but the direction won't.

Where does the response-time curve come from?

It is a conservative step model consistent with widely replicated sales-response research, where the classic finding is that the odds of qualifying a lead fall roughly 8× between a 5-minute and a 30-minute first response. We deliberately flattened the curve — our worst bucket assumes you still convert 35% of what a 5-minute responder would, so the estimate understates the leak rather than inflating it. Treat the output as directional, not a forecast.

My close rate already reflects my slow response. Isn't this double-counting?

No — that is exactly how the model works. The close rate you enter is treated as your rate at your current response speed, and the calculator divides by the multiplier for your speed bucket to estimate what the same leads would close at a 5-minute response. If you enter a close rate you achieved back when someone answered instantly, the potential figure will overstate the gap.

Can software really respond to every lead in five minutes?
